email Ralph Myers to verify that transaction was made, but Jim is the confirmation.
As I understand it, the Club's on-line payment process/capability is an extension of the on-line Club enrollment process. That process informs Ralph Myers, as the Membership Officer, of renewals and first time enrollments.
That process has been expanded to allow payments for pre-registration, however, the Membership Officer is still the person who gets the notification that a transaction has happened.
Ralph then transcribes who has registered for the Convention and what events they have registered for (banquet, poker tourney, blackjack tourney). This "transcribing" is not automated. It requires typing in the members firts and last name, membership number, email address and then checking off which events are applicable.
A small database was created to accept those inputs and periodically, that database is sent to Jim Steffner. Jim then annotates his records, provides inputs to the Banquet Chair, the Poker and Blackjack Tournament Director, and others (for badging, etc.). Jim also has to create an email message to the registrant to confirm enrollment.
The method of email generation from Jim to each registrant is not an automated process from the database that Jim receives from Ralph. Jim must bounce between his email program and the database program (or transcribe from a printout) to fill-in address, subject and message (which is not on a template), so everyone's confirmation email message is unique.
I do not know if there is a delay in the system right now (like a backlog), but I suspect that things are being taken care of. In the meantime, emailing either one may further bog-down the process.
I suspect that either one will likely see this thread and perhaps post additional relavent information.
